Lighting maintenance is easier and less expensive when it is planned. Waiting until many lamps have failed can affect appearance, safety, productivity and customer experience. It can also lead to rushed purchases and mismatched replacements.
Use this checklist as the basis for a routine inspection. The frequency should reflect the property, operating hours, environment and importance of the lighting.
Observe the space in operation
Walk through while the lighting is on and record:
- Failed lamps or fixtures
- Flickering, cycling or slow starting
- Buzzing or unusual noise
- Noticeable colour differences
- Dark areas or excessive brightness
- Glare on screens, displays or work surfaces
- Controls that do not respond correctly
Inspect exterior areas after dark so that coverage, shadows and failed units are visible.
Check lamps and light sources
Look for:
- Darkened fluorescent-tube ends
- Blackened or discoloured lamp envelopes
- Loose lamps
- Damaged pins or bases
- Cracked glass or plastic
- LED modules with failed sections
- Mixed wattages, colours or beam angles
Do not touch hot lamps or attempt to tighten a lamp while power is present.
Inspect fixtures from a safe position
Record damaged lenses, diffusers, reflectors, trims, seals and housings. Look for corrosion, water entry, insect accumulation or signs of overheating. A failed lamp may be the symptom of a damaged socket, ballast, driver or wiring problem.
Access to high fixtures requires appropriate equipment and trained personnel. Electrical enclosures should only be opened by qualified persons following safe isolation procedures.
Clean appropriately
Dust and dirt reduce delivered light. Establish a cleaning method suitable for the fixture and environment. Switch off and isolate equipment where required, allow components to cool and follow manufacturer instructions. Avoid chemicals that can cloud lenses, damage finishes or weaken plastics.
Test controls
Check occupancy sensors, photocells, timers, dimmers and smart controls. Confirm that sensor coverage and time delays still suit the space. Exterior photocells should not be obstructed or affected by nearby artificial light.
Review emergency lighting separately
Emergency and exit lighting are life-safety systems and require inspection and testing under the rules applicable to the property. Keep test records and address failures promptly through competent service providers. Do not treat an emergency fitting as an ordinary lamp replacement.
Investigate repeated failures
If lamps repeatedly fail in one fixture or area, do not continue replacing them without investigating. Possible causes include:
- Incorrect voltage
- Incompatible ballast, driver, transformer or dimmer
- Excessive heat
- Vibration
- Moisture
- Poor electrical connections
- Wrong lamp orientation or fixture type
- Products unsuitable for the operating cycle
Record the location and failure dates so patterns become visible.
Standardise approved replacements
Maintain an approved list containing:
- Location or fixture group
- Lamp shape and base
- Manufacturer and product code
- Voltage and wattage
- Lumens and colour temperature
- Beam angle where relevant
- Control-gear requirements
- Date installed
- Supplier and warranty information
Standardisation reduces colour mismatch, incompatible substitutions and unnecessary inventory.
Plan replacement stock
Keep reasonable quantities of frequently used lamps, especially for critical areas, but avoid excessive stock that may become obsolete. Store lamps in dry, secure conditions and protect fragile bases and tubes. Use older stock first where appropriate and review the inventory regularly.
Document every visit
A simple maintenance log should state what was inspected, what failed, what was replaced and what requires follow-up. Include photographs for recurring or unusual issues. This record helps with budgeting, warranty claims and future upgrade decisions.
